How To Scan To Gmail With The Fujitsu ScanSnap?

Most computer-savvy readers will understand: family gatherings entail nice food, good times, and computer assistance.

My father, who uses a Fujitsu ScanSnap S300 (the predecessor to the ScanSnap S1300), was having difficulties emailing his genealogy things in between bites of lefse (the only Norwegian thing my family does).

He wanted to know how he could utilize his ScanSnap to send emails through Gmail instead of Outlook. I figured it’d make an excellent blog entry, so here we are.

The ScanSnap will use your default email client on Windows. So now the question is: how do you make Gmail your default mail client?

There are a variety of options, as there are with most things. The most popular option is to utilize Gmail Notifier. When you install it, you can choose to make Gmail your default email client by checking the box. I’m not sure if it’s because I’m running Windows 7 64-bit or because Larry and Sergey despise me, but I couldn’t get it to function on my PC. Whatever I did, Windows Live Mail was still used.

I ended up utilizing Affixa, a free tiny program. Affix a has a lot of functions, but the one I’m interested in is the ability to utilize Gmail, Google Apps, or Yahoo Mail as your primary Windows mail client.

Set Up Affixa

You may add your accounts and then configure a few parameters for each account when you first run it.

For further protection, I have it set to launch Gmail after composing a draught message and to use HTTPS.

Set Up ScanSnap Manager

I utilized the built-in Scan To E-Mail profile on the ScanSnap side. Scan to E-mail is on the Application page, and there are a few settings you might want to look at when you select the Application Settings button.

Sending The Email

I prefer to have “Show preview” appear so that I may name the file, and check “Save scanned photos to file” if I wish to keep a PDF copy of the paper.

After that, configure the other Profile options on the other tabs according to your preferences.

The Email is being sent

Once you’ve completed your setup, simply load some documents into the ScanSnap and press the scan button. The affix will display that it is logging in, and if you selected “Launch Gmail,” it will take you directly to your message. If it isn’t there, go to Gmail and look in the Drafts folder.

What About The Mac?

I’m afraid I don’t have any positive news for you today. I was hoping that Google’s new Google Notifier for Mac would do the trick, but it didn’t. When I attempted to scan, ScanSnap Manager displayed a notice stating that Mail. app or Entourage. the app was required. I have no idea why.
