How do I configure and use Scan to E-mail Server?

IMPORTANT: (MFC-L8600DW) – If your Brother machine does not have the Scan to E-mail Server option, you may need to upgrade it to use the I-FAX functionality, which will also give you the Scan to E-mail Server options. Refer to the following solution: ‘How can I get the Internet Fax installer to download and instal?’

The Brother machine must be connected to the Internet and have access to an SMTP server to use the Scan to E-mail Server option. Please contact your Internet Service Provider or Network Admin if you do not have this information.

SCAN TO E-MAIL (E-Mail Server):

I: SETUP SCAN TO E-MAIL (E-Mail Server):

1. Get the IP address of the Brother machine from the Network Configuration Report:

  • Image from the press.
  • All Settings should be pressed.
  • To show, swipe up or down or tap the UP OR DOWN ARROW, then select Print Reports. To show, swipe up or down or click the UP OR DOWN ARROW, then select Network Configuration.
  • Select OK. The list of network configurations will now be printed.

2. Open a web browser (such as Internet Explorer) and type in

4. Select Protocol.

5. If it isn’t already checked, tick the box next to POP3/IMAP4/SMTP.

6. Next to ‘POP3/IMAP4/SMTP,’ select Advanced Settings.

7. In the SMTP area of this page, fill in all of the required information. If you have any questions or need assistance with any of these settings, contact your Internet Service Provider or Network Admin:

NOTE: Because POP3 and IMAP4 settings only relate to receiving e-mail, they are not required for scanning to an E-mail server (sending). You can prevent the machine from automatically pulling in received e-mails if you configure the POP3 or IMAP information by going to Fax => i-Fax => E-mail. E-mail Sending Options (SMTP)

a. Server Address: The Host Name or IP address of an SMTP mail server (outgoing E-mail Server) on your network is displayed in this field. (For example, 192.0.0.1 or smtp.example.net) You must use the FQDN (Fully Qualified Domain Name) of the SMTP E-mail server if you are using the DNS name of the SMTP E-mail server, such as smtp.example.net.

b. Port: Enter the destination port number for the SMTP server you’ll be connecting to.

c. Server Authentication Method: Select the SMTP server’s authentication method. This value specifies the type of authentication technique used to connect the user to the SMTP server. The possibilities are as follows:

NONE: No authentication with the SMTP server.

SMTP-AUTH: Makes use of the SMTP Authentication mechanism. If this approach is utilised, the SMTP account details must be entered correctly.

d. Account Name/Password for SMTP-AUTH: Specify a name and password that will be validated with the SMTP server, and then retype the password to compare. Enter a single space if you don’t want to use a password.

f. SSL/TLS: The encryption technique between the machine and the SMTP server is your choice. Verify Server Certificate, which checks the certificate between the system and the SMTP server, can be checked or unchecked.

f. Device E-Mail Address: Enter the printer’s e-mail address. The Notification Mail will be sent to the printer if an administrator address is incorrectly input. The Notification Mail is not sent to the administrator if you do not specify a printer e-mail address.

II: TO USE SPEED DIAL LOCATIONS TO SET UP AND SCAN TO AN E-MAIL SERVER

1. Click the Address Book tab while still on the Web Home Page.

2. Make a list of the Speed Dial locations you’d like to use. Choose Address 1-20, for example, to store in a speed dial location from 1 to 20.

3. Fill in the following information for each storage place you want to programme:

  • Phone number/email address: The email address of the receiver.
  • Name The name of the recipient.
  • Select MAIL from the drop-down menu.

4. Press the SUBMIT button.

5. After you’ve configured the Speed Dial locations, select Setup Groups G1-G20 to configure the Group locations. Set the following parameters for each group:

  • ┬áSelect an empty Speed Dial location to save your group.
  • Name The name of the band.
  • Members: Select the members you want to include in this group by checking the boxes next to each appropriate Speed Dial location.

6. Press the SUBMIT button.

 

III: USE ONE-TOUCH OR SPEED DIAL NUMBERS TO SCAN TO AN E-MAIL SERVER:

1. Open your document and load it.

2. On the Brother machine’s LCD, press Image (Scan).

3. To see the image, swipe left or right (to E-mail Server).

4. Press the Image (to E-mail Server). The icon is highlighted in blue and travels to the centre of the Touchscreen.

5. Click the OK button.

6. Input the E-mail address using Address Book or Manual.

  • If you pick Manual, type the E-mail address into the LCD’s character buttons, then hit OK.
  • Select the E-mail address and hit OK if you pick Address Book.

7. Double-check the e-mail address and then click OK.

8. Select one of the following options:

  • To alter the settings, go to Options and choose the button you wish to change. Follow the instructions on the machine.

NOTE: To make your own default settings, choose the Set New Default option after making changes to the settings, and then press Yes.

  • Press Factory Reset, then Yes to return to the factory settings.
  • Press Start to begin scanning without changing any other options.

9. Scanning both sides of a document (only for MFC-L8850CDW and MFC-L9550CDW):

  • Select the document type after pressing 2-sided Scan.

10. Choose the scan options you’d like to change:

  • ┬áScanning Type
  • Determination
  • Document Type
  • Glass Scan Dimension
  • File Dimensions

NOTE: Press Save as Shortcut if you wish to save the settings as a shortcut.

11. Press the Start button. The scanner begins to scan. Follow the Touchscreen instructions to complete the scanning task if you’re using the machine’s scanner glass.
