HP Officejet Pro X series – Set up Scan to Email

This document is for printers in the HP Officejet Pro X series.
Scanning to email can be difficult to set up. This support guide walks you through the process of setting up and using the scan to email functionality.

NOTE: The photos in these instructions are for demonstration purposes only. The real screens may differ.

Firmware Versions BZP1CN1432DR, and LZP1CN1502AR

Use firmware versions BZP1CN1432DR and LZP1CN1502AR to set up and use the scan to email.

Step 1: Set up Scan to Email

1.Find the IP address of the product. On the control panel, you’ll find the IP address:

  • In a web browser address line, type the IP address of the product. On the computer keyboard, press the Enter key.
  • The Embedded Web Server (EWS) home page of the product appears.

3.Select the Scan option from the drop-down menu.
4.Click Scan to Email Setup in the left menu window.
5.Click OK in the Redirecting to Secure Page dialogue box.

  • The browser is being routed to a secure Web page, as shown by the Redirecting to Secure Page dialogue box. For security and privacy reasons, the information on the protected Web page will be encrypted.
  • Notice concerning the Web site’s security certificate may appear in the Web browser. Continue visiting this website since the Web page is secure.

6.Select Scan to Email Setup from the drop-down menu.

7.Complete the following steps on the Scan to Email Setup screen:

  • Default From: This is the email address that will be displayed as the email’s sender.
  • When the scan to email function is utilized, the default display name will appear on the product control panel.
  • Consider the case of Robert Smith.
  • SMTP Server: The network’s SMTP server address.
  • SMTP Port: By default, the SMTP port number is 25.
  • The following is a typical SMTP server address: smtp.company.com or smtp.provider.com. A number or a geographic area may be included in SMTP server addresses.
  • Check with your IT department, Internet service provider, or email service provider if you don’t know the SMTP server address.

NOTE: By default, the SMTP port number is set to 25. You shouldn’t have to make any changes. If this setting differs from the default, your IT department or Internet service provider should be able to assist you in making the appropriate changes.

  • Email Log-in Authentication: If the email system or Internet service provider requires additional security authentication, this information is only necessary. For email log-in authentication, the User ID and password are encrypted. When the scan to email function is activated, the product control panel will only show the sender’s email address and the display name.

    Use the Outgoing Email Test option at the bottom of the screen to test the setup, then enter a destination email address and click Save and Test.

Step 2: Use the Scan to Email option to conduct an outgoing email test.

  • Touch Scan on the product control panel’s Home screen.
  • Email should be tapped.
  • Choose the From field.
  • Touch the Subject button to add a subject line to the email. To input, the subject, use the keyboard on the control panel and then press Done.
  • To enter the To address, press and hold the To button, then type:
  • From the list of saved email addresses, choose the email address.
  • To type the email address, tap New Email and utilize the keyboard displayed on the control panel.
  • Done with the touch.
  • Touch Start Scan after loading the document onto the scanner glass or into the document feeder.
  • Once all pages have been scanned, the email is sent.
  • Firmware Versions from the Past
  • Using previous firmware versions, set up and utilize scan to email.
  • Set up Scan to Email in Step 1 (older firmware versions)
  • Find the IP address of the product. On the control panel, you’ll find the IP address:
  • Only for X451 models: Press the cancel button on the Home screen.
  • Only for the X551, x476, and X576 models: At the top of the screen, tap the network icon.
  • In a web browser address line, type the IP address of the product. On the computer keyboard, press the Enter key.
